MetaFleet Inc., a Delaware corporation ("MetaFleet," "we," "our," or "us"), respects your privacy. This Privacy Policy explains how we collect, use, share and protect information when you use our repair shop software, mobile apps, our websites (metafleet.ai and tools.metafleet.ai) and related services (together, the "Services").

This Policy applies to everyone who uses the Services, including repair shop owners, their employees and their customers, and visitors to our websites. By using the Services, you agree to the collection and use of information as described here.

2. Information We Collect

2.1 Business Account Information

Account information (company name, address, company logo)
Billing address and payment information. Payment details are collected and stored by our payment processor, Stripe. MetaFleet does not store full card numbers.
Service locations and operating hours
Pricing structures (labor rates, parts margins, fees, surcharges)

2.2 User Profile Information

Employee profiles (name, email, phone, role, permissions, employment details)

2.3 Communications Data

Support tickets and communications with our team
In-app messages and notifications
Call recordings and transcripts. When a shop that uses MetaFleet records calls, we process the recording, the transcript and details about the call (such as phone numbers, time and length) on that shop's behalf. We may also record calls with our own customer support team, with notice, to help and train our team.
Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes. All the categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

4. How We Use AI

MetaFleet uses AI to help write repair lines, read photos, and summarize and score calls. We don't allow our third-party AI providers to use your data to train their own models. We may use data that has been de-identified and aggregated, so it can't reasonably identify you or your customers, to improve MetaFleet's features, including our AI features.

AI assistants you connect. If you connect MetaFleet to an AI app such as ChatGPT, Claude or Perplexity, that app receives the information needed to answer your questions and act on your instructions, within your permissions. That app's own terms and privacy policy govern how it handles your conversations.

5. Cookies and Analytics

Our websites use cookies and similar technologies to keep the site working, to understand how visitors use it, and to connect website visits to inquiries you send us. We use:

Google Analytics (Google LLC), to measure site traffic and usage.
HubSpot (HubSpot, Inc.), for forms, chat, meeting scheduling and to connect your visits to your inquiries.
Meta Pixel (Meta Platforms, Inc.) and LinkedIn Insight Tag (LinkedIn Corporation), on some pages of tools.metafleet.ai, to measure and target our ads. They load only if you haven't turned off advertising cookies.
Our first-touch cookie (mf_ft), set by MetaFleet, which remembers for 30 days the campaign that first brought you to our site (for example an ad or email link), on both www.metafleet.ai and tools.metafleet.ai, so a later inquiry is credited to it.

When you move between www.metafleet.ai and tools.metafleet.ai, Google Analytics may add a short _gl value to the link so both sites count your visit as one session.

These cookies don't identify you by name unless you give us your information, for example in a form. You can block or delete cookies in your browser settings, or change your choice any time with the "Cookie settings" link at the bottom of our pages. If your browser sends a Global Privacy Control signal, we treat it as turning off analytics and advertising cookies. Blocking some cookies may affect how the site works.

6. Sharing of Information

6.1 Service Providers

We share information with third-party service providers that help us run MetaFleet, only as needed to provide the Services. These include providers of:

Cloud hosting, storage and email delivery
Payment processing
Phone calls, call recording and text messaging
AI processing
Maps and location services
Analytics, customer support and marketing tools
Integrations you choose to connect, such as accounting software or dispatch networks

Our service providers may only use your information to provide their services to us.

6.2 Other Sharing

With a shop's customers, as needed to complete repairs and services
With business partners, with your consent
In response to legal process, court orders or regulatory requirements
To protect the rights, property and safety of MetaFleet and others
In connection with a business transaction such as a merger or acquisition

We don't sell your personal information.

6.3 Data Controller vs. Processor

For repair shop customer data, including call recordings, we act as a data processor on behalf of repair shops (data controllers). Repair shops remain responsible for their customers' privacy rights, including any notice or consent required to record calls.

7. Data Security and Retention

Security Measures

We use appropriate technical and organizational measures to protect your information, including encryption of data in transit and at rest, access controls and one-time passcode authentication. No method of transmission over the Internet or electronic storage is 100% secure, so we cannot guarantee absolute security.

Data Retention

We keep personal information for as long as needed for the purposes in this Policy, unless a longer period is required or permitted by law.

Data Breaches

If a data breach occurs, we will notify affected users and relevant authorities within the timeframes required by applicable law.

Third-Party Websites

The Services may link to third-party websites. We are not responsible for the privacy practices of those sites.

Export your data in commonly used formats
Ask us to delete your account and associated data
Restrict or object to certain processing

Regional Rights

Contact us at privacy@metafleet.ai. We'll respond within the time required by applicable law, typically within 30 to 45 days. You can also update your account information directly in your account settings.

9. Children

MetaFleet is a business service and isn't directed to children under 16.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the platform before the changes take effect.
